SPECIAL INTEREST FORUMS POLICIES

Approved by the Board of Directors, January 8, 2015

Members interested in a specific video-related activity may form a club-sponsored Forum if one member is willing to accept responsibility for serving as the Forum Facilitator and if the group meets at least once a month. Forum participation is open to non-member residents as well as Club members. The Forum leader must be a member, but may be a non-resident.

Benefits of Club Sponsorship

  1. Forum meetings will be announced in the Videogram e-newsletter, on the club website, and in the club online calendar, and (when possible) in Globe press releases and Channel 6 Message Board announcements and may also be verbally announced at club events.
  2. The Forum will be listed in official descriptions of the club.
  3. Records of the Forum will be kept as part of the official club records, including:

    a. Membership list
    b. Meeting attendance
    c. Brief record of activities as each meeting

If no one is designated as the Forum Facilitator and/or if the group meets less often than once a month, the club cannot extend these benefits to the group and any meetings held will be informal.

Forum Facilitator Duties

The Forum Facilitator NEED NOT BE SKILLED IN THE SPECIAL INTEREST ACTIVITY to facilitate the group. The Facilitator just needs to –

  1. Be interested and reliable.
  2. Create, maintain, and distribute (to Forum members) a contact roster of Forum members.
  3. Take attendance each meeting and submit this list along with the main meeting topic for the official club records.
  4. Line up at least one commitment from a group member or guest to present or lead discussion of a topic related to the special interest at each meeting,
  5. Keep the club publicity crew informed of meeting dates, times, and locations.
  6. Send members email reminders of meetings.
  7. Find a substitute if unable to attend a meeting or perform other duties.
